WhatsApp campaigns

Send one message to a list of people who agreed to hear from you, with the limits that protect your number, opt-outs, and how replies are handled.

What you will achieve

You will send one message to a list of people from one of your numbers, slowly and with protections, and let the agent handle the replies.

Before you start

  • Send only to people who agreed to receive messages from you on WhatsApp. You confirm this before every campaign, and it is your responsibility.
  • Campaigns are the riskiest thing you can do on an unofficial link. Many unwanted messages get a number reported and banned. Read the risk in WhatsApp agents overview.
  • You need a Connected number, bought credit and you must be an owner or admin.

Create a campaign

  1. Open Campaigns under Customers in the sidebar and press New campaign. Choose WhatsApp message (the other choice, Voice call, is for voice campaigns). The WhatsApp tab lists your WhatsApp campaigns.
  2. Give it a Name (for example Friday offer) and choose which number to Send from.
  3. Write the Message. {{name}} and {{first_name}} are filled in for each person, and so is any column of your file, for example {{city}}. A message can be up to 1,000 characters.
  4. Choose Where the list comes from: a CSV file, Paste numbers, or My contacts.
    • In a CSV with a header row, Phynxa finds the phone column (named phone, mobile, number, whatsapp and similar) and the name column; every other column becomes a variable. Without a header, the first column is the phone and the second the name.
    • When pasting, write one person per line: +971 50 123 4567, Sam.
    • Use full international numbers. A list can have up to 5,000 people, and each number appears once.
  5. Optionally set Start at. Leave it empty to start when you press Start.
  6. Create it. The campaign is a draft; nothing is sent yet.

Start it

Press Start on the draft. A box asks you to tick Everyone on this list agreed to receive messages from me on WhatsApp. The Start sending button stays off until you do. Each campaign records who confirmed it and when.

While it runs you can Pause, Resume or Cancel it, and open its details to see each person: Waiting, Sending, Sent, Delivered, Read, Replied, Failed, Not on WhatsApp or Asked to stop.

How Phynxa protects the number

  • Each person's number is checked first. Someone who is Not on WhatsApp is skipped without a message being sent.
  • Messages go out one at a time with a random pause of 20 to 60 seconds, never in a burst.
  • A number sends at most 25 campaign messages an hour and 150 a day. A number linked less than a week ago warms up: 20 messages on its first day, 20 more each day after, until it reaches the daily limit. The campaign simply continues the next hour or day.
  • Sending order follows your list.
  • Replies to people who wrote to you first are normal chat and do not count against these limits.

These are conservative starting values. WhatsApp publishes no official limit, and no setting guarantees a number will not be banned.

Opt-outs

If a person replies with only a word such as STOP, unsubscribe, baja, parar, arrêt or توقف, they are added to People who asked to stop at the bottom of the WhatsApp tab of the Campaigns page and are never written to again by any campaign in your workspace, from any of your numbers. That list is shown with a button to remove a person, for example if they ask to hear from you again.

If they later write to you, the agent may still answer, because they started the conversation.

Replies

Replies to a campaign are answered by the agent assigned to the number the campaign sent from. Each person's status changes to Replied.
