Link a WhatsApp number
Scan a code to link a WhatsApp number to your workspace. Each agent needs a slot ($20, bought once). See the number's status, reconnect it and free its slot.
What you will achieve
You will link one WhatsApp number to your workspace, so an agent can answer on it.
Prerequisites
- A workspace that has bought credit (see WhatsApp agents overview).
- A free WhatsApp slot. A slot costs $20, once, from your credit, and you keep it. Each agent needs one of its own. If you have none free, the box offers to buy one before it shows any code, as long as your credit covers it. Scanning itself costs nothing.
- The phone that has the number, with WhatsApp or WhatsApp Business installed and signed in.
- You are an owner or admin of the workspace. Members can look at the page but cannot link, disconnect or delete.
Link the number
You link a number as part of creating the agent that will answer on it. Each agent has one number of its own.
- Open WhatsApp agents in the sidebar. With no agent yet, press New agent in the middle of the page; otherwise it is at the top right.
- Type the agent's Name, such as Front desk, and press Next. With no free slot, you are shown the price and asked to confirm Buy a slot for $20 (or to add credit if you have less than $20). Press it once; it is charged once.
- A code appears. On your phone open WhatsApp, go to Settings, then Linked devices, then Link a device, and point the phone at the code.
- Wait for the box to say the agent is linked to your WhatsApp number. Nothing is charged at this step.
- Press Done. The new agent opens, ready to be set up.
If the code expires or linking fails, press Try again. You are charged nothing for a scan, and the slot stays free for your next try. If you press Link later, the agent is kept without a number: open it, go to the Advanced tab and press Link a number under Number when you are ready.
Status
Each number shows one of these:
| Status | Meaning |
|---|---|
| Connected | Linked and answering. |
| Waiting for scan | The code is shown and has not been scanned yet. Press Show QR to see it again. |
| Linking | The scan worked and the number is starting up. |
| Reconnecting | The connection dropped and Phynxa is restoring it by itself. |
| Logged out | The number was unlinked, from your phone or by WhatsApp. Press Reconnect to link it again. |
| Needs attention | Something stopped it. The reason is shown under the number. |
The agent's page shows its number's state under Number on the Advanced tab, and the WhatsApp agents list shows it in the Number column.
Reconnect, disconnect and delete
These buttons are on the agent's Advanced tab, under Number.
- Reconnect links a logged-out number again with a new code. It uses a free slot and costs nothing more. If a connection drops without you unlinking it (a network loss, a restart), Phynxa reconnects it by itself and the number keeps its slot.
- Disconnect unlinks the number from the phone and stops the agent answering on it. Its slot is free again.
- Delete unlinks the number and removes it from the list. Its slot is free again too. Deleting an agent does the same for its number.
A number that was logged out, failed to link or never got scanned does not hold a slot. A code that is waiting for a scan holds one for 15 minutes, so a second code started at the same time cannot take it.
Troubleshooting
- The code never appears. The WhatsApp service may be busy or down. A notice at the top of the page says when it cannot be reached; linked numbers reconnect by themselves when it is back.
- Not enough credit for a slot. A slot costs $20. Add credit under Billing, then buy the slot. You can see how many slots you have, use and have free on the WhatsApp agents page.
- "All your slots are in use." Every slot is taken by an agent or by a number linked or waiting for a scan. Buy another slot, or delete an agent (or unlink a number) you no longer use.
- The server is full. One server can hold only a limited number of connected numbers at once. If linking is refused for that reason, try again later or contact support.
- The number keeps going to Logged out. Open WhatsApp on the phone, check that this device still appears under Linked devices, and keep the phone online from time to time.
