Calendly

Connect Calendly with a personal access token so an agent can find open times, book meetings and cancel them during a call.

What you will achieve

An agent will be able to offer real open times from Calendly, book one for the caller, and cancel a booking, all during the call.

Overview and use cases

  • Book appointments or demos without the caller opening a link.
  • Offer a one-time scheduling link when the caller prefers to choose later.
  • Check or cancel an upcoming meeting.

Prerequisites

  • A Calendly account on a paid plan. Booking through the API is not available on free plans (Calendly answers 403).
  • Permission to create a personal access token.

External account setup (in Calendly)

Calendly controls these screens. Calendly's guide: Personal access tokens.

  1. In Calendly, open Integrations & apps, then API and webhooks (direct link).
  2. Create a personal access token.
  3. Tick the scopes below when you create it. Tokens made since scopes were introduced have no access until the scopes are chosen.
  4. Copy the token; Calendly shows it once.

Connect it in Phynxa

  1. Integrations, Connect on Calendly.
  2. Paste the Personal access token. Optionally enter a Default event type (an event type URI or id) to book when the agent names none.
  3. Choose Check and connect. The card shows Connected.

Permissions and settings

Scopes to tick: users:read, event_types:read, availability:read, scheduled_events:write, scheduling_links:write.

Use it in a call

ActionWhat it doesRuns
Find available timesLists open slots for an event type, up to 31 days ahead, starting in the future.Waits
Book meetingBooks a slot for the caller. Needs a start time from the list and the caller's email; the time zone defaults to UTC if not given. In the background

Test it

  1. Test connection should answer "Calendly is responding."
  2. In an agent's Chat, ask "What times do you have next week?", pick one and give an email. Check Calendly for the booking.

Expected result

The slots shown match your Calendly availability, and a booked slot appears in Calendly and sends the usual confirmation email.

Troubleshooting

  • 403 on every action. The token was made without scopes, or your plan is free. Create a new token with the scopes ticked.
  • "No event type." Set a Default event type, or ask the agent to name one.
  • The slot is refused. The time must still be open and in the future, and inside 31 days.

Security and credentials

The token is stored encrypted and never shown again. Delete the token in Calendly to revoke it. Remove in Phynxa forgets it here.
