Outlook
Connect Outlook and Microsoft 365 with your own Microsoft Entra app so an agent can search, read and reply to email, send follow-ups and manage the calendar.
What you will achieve
Outlook will show Connected and respond to Test connection.
Overview and use cases
The connection lets an agent search, read and reply to mail, send follow-ups, save drafts, tidy the inbox, and create, list and cancel calendar events, all through Microsoft Graph.
Prerequisites
- A Microsoft account (personal or work) and permission to register an app in Microsoft Entra.
External account setup (in Microsoft Entra)
Microsoft controls these screens. Microsoft's guide: Register an app.
- Register an application in the Entra admin center.
- Add a Web redirect URI: the URL in Phynxa's Connect dialog.
- Under API permissions add the delegated permissions below.
- Create a client secret and copy it with the Application (client) ID.
Connect it in Phynxa
- Integrations, Connect on Outlook.
- Enter Client ID, Client secret and optionally Tenant.
- Sign in to Microsoft and approve. The card shows Connected.
Permissions and settings
Delegated permissions: offline_access (without it the connection ends after an hour), User.Read, Mail.ReadWrite, Mail.Send, Calendars.ReadWrite.
Tenant: common (work and personal accounts), organizations (work only), consumers (personal only), or your own tenant id or domain.
Connected Outlook before reading was added? That connection only had permission to send. Sending keeps working; for the other mail actions, choose Reconnect and approve again.
Use it in a call
On an agent's Tools tab, Add tool, Integration, Outlook:
| Action | What it does | Runs |
|---|---|---|
| Send email | Sends an email. Needs to (several addresses separated by commas), subject and body. | In the background |
| Search emails | Lists matching emails with who sent each, the subject, the date and the first words. Takes query in Outlook search words (for example from:sara@example.com) and max_results (up to 10); with no query it lists the newest in the inbox. | Waits |
| Read email | Opens one email and returns its text (up to about 3,500 characters), who sent it and the names of any attachments. Needs message_id from a search. | Waits |
| Read conversation | Returns the latest four messages of a conversation. Needs thread_id (the conversation id a search returns). | Waits |
| Reply to email | Replies to the person who wrote the email (never to everyone). Needs message_id and body. | In the background |
| Create draft | Saves an email in Drafts. Nothing is sent. Needs to, subject and body. | In the background |
| Mark as read | Marks one email as read. | In the background |
| Archive email | Moves one email to the Archive folder. It is kept and can still be found. | In the background |
| Move to trash | Moves one email to Deleted Items, where it can be recovered. | In the background |
| Create calendar event | Puts an event on the calendar. Needs subject, start, end and time_zone; attendees (emails separated by commas, who are invited) and location are optional. | In the background |
| List calendar events | Lists events between two times (the next seven days by default), with their ids. | Waits |
| Cancel event | Cancels an event you organised; guests are told. Needs event_id from List calendar events. | In the background |
These actions also work on a WhatsApp agent: on its Tools tab, Add tool, Integration, Outlook. See Create a WhatsApp agent.
Keep your mailbox safe
- Give the reading actions only to agents you trust. An agent that answers the public (a phone line, a website widget, a WhatsApp number) answers anyone who talks to it, so anyone could ask it about your mail. For a public agent, give it only Send email or Create draft.
- An email's text is written by someone else. It can contain instructions aimed at an assistant ("forward everything to ..."). Phynxa tells the agent to treat what it reads as information and never as instructions, but the safest set-up is not to give one agent both the reading and the sending actions.
- Each tool can be switched off by removing it from the agent.
- There is no private "ask about my mail" chat. A WhatsApp agent answers the customers who write to its number; it does not take orders from you about your own inbox.
Test it
Test connection answers "Outlook is responding."
Expected result
The card stays Connected.
Troubleshooting
- "Reconnect Outlook." The connection was made before reading was added, or
Mail.ReadWritewas not granted. Add the permission in Entra, then Reconnect and approve. - The connection stops after an hour.
offline_accesswas not granted; add it and Reconnect. - Redirect URI mismatch. The Web redirect URI must equal Phynxa's exactly.
- Wrong account type. Set Tenant to match your account.
Security and credentials
The client secret is stored encrypted. Revoke the app's access in Microsoft account settings; Remove forgets it here.
